Context

RingCentral is a leading provider of business cloud communications. It offers three key products  including RingCentral MVP™, a UCaaS platform including team messaging, video meetings, and cloud phone system. In the video conference, there is an opportunity to immerse your audience in presentation mode, keeping everyone on the same page by sharing the screen.

We encountered a low frequency of usage for the presentation mode when screen sharing in our application. My task was to increase the popularity of this mode

Solutions

Simplify access to the feature:
— I have decided to move the presentation mode from the "more" menu to the sharing bar to allow users to easily discover and utilize this feature.


Improve the user flow:
— I realized that the current process of activating the presentation mode is lengthy and complex. Therefore, I plan to streamline this process to enable users to activate the presentation mode quickly and easily.

Challenges

Overloading the sharing bar:
— I'm concerned about adding too many functions to our sharing bar, which could make it difficult to use. To address this issue, we decided to replace less essential functions and only keep the most necessary and frequently used ones.

Limited development resources
— We understand that we have a limited number of developers, and implementing improvements may require significant effort. Hence, we need to be selective in choosing changes to implement

Process

We decided to start by enhancing the user experience in the web version of the application as it requires fewer resources. This approach will also provide us with insights and feedback to inform improvements in the desktop version.

I conducted an analysis of usage metrics for all sharing bar functions and found that the remote control feature had the least necessity, with infrequent usage and short duration, indicating users were primarily exploring this feature.

Testing

Since the presentation mode only works when the camera is on, I needed to consider the scenario of activating the mode when the camera is off.

I have also received user feedback regarding the interaction with the popup and the clarity of the text. After making changes to the design of the popup window and the tooltip, I conducted the second stage of testing.

I conducted testing on three options:

1. Disabling the button with a tooltip.

2. Displaying a pop-up prompt when the button is clicked, suggesting turning on the camera.

Stage 1 - 7 votes

3. Automatically turning on the camera with a 3-second delay.

Adaptive

Due to the technical complexities of implementing the pop-up within the sharing bar, I decided to place it in a separate floating panel and expand the panel for confirmation if it was minimized.

I created an adaptive design for the mobile web version and a simplified version of the pop-up for smaller resolution screens.

Result

As a result, the usage frequency of the presentation mode in the web version increased by 40%, allowing us to allocate development resources to enhance the user experience of the presentation mode in the desktop version of the application.Next, I conducted research on the sharing picker of competitors and redesigned our version for the desktop application.
